- This position involves supervising administrative staff, managing office processes, and supporting various departments to maintain a high level of guest satisfaction.
Key Responsibilities
Administrative Team Leadership:
- Supervise and guide administrative staff, including administrative assistants and front desk personnel.
- Conduct performance evaluations, offer training, and ensure the team delivers a high level of service.
Office Management:
- Oversee daily office operations, including maintenance, security, and office supplies.
- Ensure the office environment is organized, clean, and conducive to productive work.
Process Optimization:
- Develop and implement efficient administrative processes and procedures.
- Identify areas for improvement and make recommendations to enhance administrative productivity.
Communication and Correspondence:
- Handle incoming and outgoing communication, including emails, phone calls, and guest correspondence.
- Ensure prompt and professional responses to inquiries and guest requests.
Records and Documentation:
- Maintain and organize resort records, files, and documents, ensuring data is easily retrievable.
- Implement a document management system to streamline record-keeping.
Vendor and Supplier Relations:
- Liaise with vendors and service providers, including those involved in resort maintenance, cleaning, and supplies.
- Negotiate vendor contracts, manage service agreements, and seek cost-effective solutions.
Guest Services Support:
- Assist in addressing guest concerns, special requests, and reservations, ensuring a high standard of guest satisfaction.
- Collaborate with the front desk team to enhance the guest experience.
Budget Management:
- Assist in budget preparation and management for administrative operations.
- Monitor expenditures, analyze variances, and identify cost-saving opportunities
Staff Recruitment:
- Oversee the recruitment process, including job postings, interviews, and onboarding for new staff.
- Ensure a smooth and welcoming integration for new employees.
Training and Development:
- Plan and implement staff training and development programs.
- Promote continuous learning and growth opportunities for employees.
Employee Relations:
- Manage employee relations, address concerns, and ensure a harmonious and productive work environment.
- Oversee conflict resolution and disciplinary actions when necessary.
Qualifications
- Bachelor’s Degree in Business Administration, Management, or a related field is preferred.
- 7- 10 years of Proven experience in administrative management with a strong track record of success.
- Exceptional leadership and team management skills.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency in office software, including Microsoft Office and document management systems.
