Position Overview
- As a Personal Assistant, you will provide comprehensive administrative support to an individual or executive, assisting them in managing their professional and personal responsibilities.
- Your role will involve organizing schedules, coordinating meetings, handling correspondence, and maintaining confidentiality.
- Your efficiency, strong organizational skills, and ability to multitask will contribute to the smooth functioning of daily operations and the effective management of tasks.
Responsibilities
Calendar and Schedule Management:
- Manage and maintain the executive’s calendar, scheduling appointments, meetings, and travel arrangements.
- Coordinate and prioritize appointments, ensuring optimal use of time and resources.
- Remind and prepare the executive for upcoming commitments and deadlines.
Travel and Accommodation Arrangements:
- Make travel arrangements, including booking flights, accommodations, transportation, and visas as required.
- Prepare detailed itineraries and travel packs, ensuring all necessary documents and information are provided.
- Manage travel expenses, receipts, and reimbursements.
Communication and Correspondence:
- Handle incoming and outgoing correspondence, including emails, letters, and phone calls.
- Draft, proofread, and edit documents, reports, presentations, and other materials.
- Respond to inquiries and requests on behalf of the executive, ensuring timely and professional communication.
Meeting Coordination:
- Schedule and coordinate meetings, conferences, and appointments.
- Prepare agendas, take meeting minutes, and distribute relevant documents.
- Arrange meeting facilities, equipment, and refreshments.
Confidentiality and Data Management:
- Maintain strict confidentiality of sensitive information and documents.
- Organize and manage electronic and physical files, ensuring easy retrieval and efficient document management.
- Handle confidential and sensitive matters with discretion and professionalism.
Task and Project Management:
- Assist in managing various projects and initiatives, tracking progress, and ensuring deadlines are met.
- Prioritize and manage multiple tasks simultaneously, adapting to changing priorities.
- Conduct research, gather information, and prepare reports as required.
Miscellaneous Support:
- Perform general administrative tasks, such as photocopying, scanning, filing, and record-keeping.
- Coordinate personal errands, such as shopping, reservations, and appointments.
- Provide additional support as needed to facilitate smooth operations and optimize productivity.
Requirements
- Candidates should possess a Bachelor’s Degree with 2 – 5 years relevant work experience.
- Proven experience as a Personal Assistant, Executive Assistant, or similar role.
- Excellent organizational and time management skills.
- Strong communication and interpersonal abilities.
- Discretion and confidentiality in handling sensitive information.
- Proficient in using productivity tools and office software (e.g., MS Office, Google Suite).
- Attention to detail and accuracy in completing tasks.
- Strong multitasking and problem-solving skills.
- Ability to work under pressure and meet deadlines.
- Professional demeanor and positive attitude.
- Flexibility to work outside regular office hours as required.
- Must reside at Lekki Axis.
- 30 – 35 years.
Salary
N100,000 – N120,000 Monthly.
