JOB TITLE: Program Assistant
JOB LOCATION: Benue
Reports to: Operations Manager
JOB DETAILS:
- The Program Assistant – Admin will provide customer services, support in hotel bookings; flight bookings for both AHF Nigeria guests for Benue, Cross River, Anambra, and Akwa Ibom States.
- The assistant will provide secretariat services for the AHF Nigeria Benue State office.
- Supports procurement and supply chain management of goods and supplies to supported health facilities and the program as a whole.
Essential Duties / Responsitilities
Administration Duties:
- Supports procurement and supply chain management of goods and supplies to supported health facilities and the program as a whole.
- Support in hotel bookings, flight bookings for both AHF Nigeria guests and staff
- Acts as Front Desk Officer
- Supervises appropriate utilization of program vehicles; responsible for the scheduling of program vehicles to field activities
- Develops and maintains filing system (mainly digital and also hardcopy when strictly needed)
- Provides administrative and logistical support for AHF’s Nigeria
- Answers incoming phone calls; oversee office voicemail
- Collects and distributes incoming mail / arrange courier services when needed
- Oversees office supply inventory, orders as needed
- Participate in the General staff meetings and other various meetings assigned
- Provide logistics support for training, meetings, etc
- Support in coordinating transport logistics and assigning project vehicles.
- Maintains files of all AHF minutes of meetings etc
- Maintains and manages meeting calendar and files minutes of meetings
- Maintains and update contacts database.
Finance Duties:
- Support in payments processing, project expenses, and advances management
- Monitor vendors invoices & accounts payable;
- Support to collate and review financial backup for liquidation of cash advances.
- Send original invoices, receipts and expense reports to the country of
- Communicate with the country office on the payment of invoices and reimbursement of expenses reports.
- Supports inventory management and reporting.
- Other duties as may be assigned by the supervisor.
Education and Experience
- Minimum of a Bachelor’s Degree or HND in Accounting, Finance, Commerce, Business Administration from a recognized college or university.
- 1 – 2 years experience in a field directly related to Admin support, logistical and, secretarial support, basic financial management, supplies, and procurement management.
- Proficiency In computer operations (use of MS Word, Excel, PowerPoint, and Outlook)
- Oral and written fluency in English required.
- Ability to multi-task and prioritize h pursuit of deadlines
- Interest and/or experience in HIV AIDS-related work: non-profit sector; development work in resource-constrained settings
- Ability to work in a multi-cultural, international environment.
- Professional qualification is an added advantage.
